To do this, you need to:
- Open Outlook and select File
- Under Info, click Add Account
- On Auto Account Setup, enter your name, Gmail address, password. Then click Next
- Press Finish and then your Outlook will sync with your Gmail account. Once the sync is completed, your Gmail account will appear in the folder pane in Outlook below your Microsoft 365 mailbox (it will be under your Gmail name, i.e. johnsmith@gmail.com)
But what if you want your Gmail messages to actually appear in your Microsoft 365 mailbox? Well, you need to export them as a file and then import them to your mailbox. To do this, you need to:
- Press File, choose Open & Export, and the Import/Export
- Click Export to a file in the pop-up box and then press Next
- Select Outlook Data File (.pst) and then Next
- Choose the Gmail account you want to export and verify that the Include subfolders is checked (so that your whole email is copied), and click Next
- Click Browse and choose where to save the file and then Finish
- Open Import/Export again and select Import from another program or file and click Next
- Tick Import items into the same folder in and select your Microsoft 365 mailbox, then press Finish
- Outlook will then start copying the .pst file to your Microsoft 365 mailbox (note: if you have a lot of data, this may take hours but if you close Outlook or disconnect whilst the import is still in process, it will continue once reconnected)
Now, you’ll be able to view your old Gmail messages in your Microsoft 365 mailbox!
